Data and Document Security

Handling your proprietary data in the most secure manner is of utmost importance at BDI. We realize that we are entrusted with confidential client data, and have taken deliberate precautions over the years to ensure that this information remains secure.

Security consultants have been utilized for review of procedures for physical, electronic and employee access to confidential data. Recommendations and policies have been put in place to ensure that data entrusted to BDI remains at BDI. This review is ongoing at BDI.

Secure Building

All work is performed in one secure facility. Data remains in this location at all times. The facility has only 2 entry/exit points. The main entrance is pass-key activated, with entry allowed only by BDI employee within. The receiving area is gated and locked at all times, except when deliveries of printed materials or data tapes are passed between delivery driver and BDI receiving employee.

Data Tape Movement

All data tapes received are numerically assigned a control number and escorted to our data center where they are issued to the appropriate BDI personnel for processing. At the conclusion of processing, they are returned to BDI's secure tape library prior to shipment back to the customer. Tapes are returned to customers within 30 days of processing. Tapes and Archive materials are returned to clients in locked security bags.

Shredding

Heavy-duty paper and film shredders are utilized in our Laser Imaging and Microfiche Archiving Departments. All printed materials containing client sensitive data are cross-shredded beyond recognition at BDI's facility by BDI employees before it is discarded. BDI does not use third party shredding services. Outside trash bins are kept in locked areas.

Electronic Monitoring

An electronic surveillance system containing 18 cameras records activity on a 24 hour basis in all data sensitive areas of the facility. BDI also monitors employee activity via magnetic access cards when entering and leaving secure areas throughout the facility. Employee access reports are available from our security system.

Internet Access

BDI provides a proprietary 128-bit SSL file transfer system, that enables our clients to securely submit data files over the Internet. This system uses the latest in server security, encryption and compression technologies to ensure that data transmitted over the Internet is extremely secure and fast.

FTP Access

Files sent electronically via FTP are restricted via "user ID" and "passwords" assigned to them by BDI. Files must be encrypted by the client prior to transmission.

Handling of Incoming Data Files

Files transmitted to BDI electronically are immediately moved from the incoming server to a more secure area on BDI's in-house computer systems. BDI routinely deletes customer files from its systems within 30 days or less, after processing the customer's job (subject to specific customer requirements).

Background Checks

All employees undergo routine background checks prior to employment. This includes investigation of history of credit, criminal, gambling, drug violations, and employment verification. Employees are tested for drug use prior to hire. All employees sign an "at will" employment agreement prior to hire.

Security Clearance

BDI has assigned different levels of security for each of its employees, subject to their specific involvement in handling data sensitive information. Certain employees are only allowed secured access to specific geographic areas within the building in order to perform their responsibilities.
